Gallery Sitting Procedures

The following are the procedures the coop has created for the gallery sitters, updated June 2007:

 

l. All sitters are to be present for a three hour session during the following times on a Saturday and Sunday: 10am-1pm and 1pm to 4pm.

   

2. If sitter has to leave for an emergency, one of the following persons should be notified; Debbie Valenti – 215 219 3796, Luke Harris – 215 483-3327 or Robert Joachim – 215 242 2711. If these persons are not available, a message should be left on their phones. If it is necessary to leave MAC, then remove the “Gallery Open” sign from the MAC entrance and lock up the center and return the key to its proper place. Sitters should not leave the gallery during their hours of volunteering unless absolutely essential. The gallery must not be left unattended.

 

3. Gallery sitters will be supplied with a list of the telephone numbers of all the coop members in case a switch in dates becomes necessary.

 

4. Gallery sitters are to sign up for their monthly sit time either on the Friday evening when they bring their work for hanging or on the following Sunday when the artist reception is held.

 

5. A completed schedule of the gallery sign up sheet will be available in the gallery so everyone knows who is sitting when. The gallery schedule will also be emailed to each coop member.

 

6. If you are unable to keep your scheduled time, you must find a replacement more then 24 hrs in advance. If you are running late for your 1 pm sitting, call the morning sitter at 215 482 3363 ( MAC phone number). This is to be avoided out of respect for the morning sitter.

 

7. During your gallery sitting please answer the phone and take messages. Note we now have different codes for messages in each division of MAC.

 

8. Complete the necessary paper work for a sale of any art works. These 2 forms are available in a yellow file on the table. Money received should not be left in the gallery. Note; a Pa. license # is needed if a check is used. We do not take credit cards. Note also that a 10 % deposit is required on all sales. Upon closing take it to the Roxborough Law Office at 443 Green Lane (one block towards Ridge Ave. at the corner of Mitchell Street and Green Lane). Place the money so marked in an envelope as a MAC purchase in the mail slot. Envelopes are available in a box below the table in the gallery. Note that all art work including sold art work remains in the gallery until the exhibition is over at the end of the month. At that time arrangements may be made to have sold work delivered to the purchaser. The gallery sitter may place a red dot on work that is sold during the sitting time. Note again, that any art work sold out of the bins may be taken by the purchaser as long as it is fully paid for.

 

9. Have all visitors write their name and address and telephone number if agreeable in the sign-in book. Feel free to answer all questions or refer them to a member of the Board or a Coop member. If someone wants to consider joining the coop have them call Robert Joachim at 215-242-2711, (email - bbjoachim@comcast.net), or Luke Harris – 215-483-3327; (email – lehiiimary@aol.com). An applicant for the coop must present a sample of their work at a coop mtg. which is held the third Wednesday of each month. Someone can also be a MAC member and not be a coop member. The fee for both is $50/yr. A MAC member will be placed on the MAC mailing list and may submit art work for the October members show.

 

10. It is important to ask all visitors how they learned about MAC so we can better evaluate our publicity efforts. Such information may be noted on a gallery sit form on the desk. Other forms on the desk include, a copy of the MAC rules and the Coop Bylaws, the coop mailing list with telephone numbers, the purchase of art work form for MAC and the purchase receipt form for the purchaser. These last 2 forms are in a yellow folder below the table.

 

11.  Upon closing make sure all lights are turned off except the outside spotlight above the door and that the “Gallery Open” sign is removed from the front and taken inside. Also check to insure that the back door is securely locked, the thermostat is turned down to 55 degrees and the bathroom door is left open especially during the winter so that the pipes don’t freeze. Finally, return the key to its proper place, and make sure the shed door is tightly closed.
